A PRACTICAL SELF-CHECK FOR INDEPENDENT REPAIR SHOPS
Auto repair shop workflow checklist
Before changing software, walk through how work moves from one person to the next. These five checks can help you spot a repeated delay, unclear handoff or manual step worth improving.
Check a heading when that handoff is not consistently clear or easy to cover. Count your checks as a quick snapshot—not a grade or industry benchmark. Nothing is submitted or saved.
-
For each new call or website inquiry, can your team see who owns the next response, what should happen next and when it is due? Look for inquiries that depend on one person remembering to follow up.
-
Can the people who need repair information reach the current, approved source they use for the work? Notice repeated searches, interruptions or steps that require asking a coworker where to look.
-
When an estimate or approval is waiting, is its status visible to the person responsible for the next step? Note where someone has to check several places to find out what is holding the work up.
-
Which details get entered or checked more than once as a job moves through the shop? Identify the handoff and tool involved; you do not need to record customer names or other personal information.
-
For each item waiting on a customer response, can the right staff member see the owner, next action and timing? Check whether another team member could cover the handoff if its usual owner is away.
How to use the checklist
Example — a website inquiry: The front desk receives a request, assigns the next response to a role, records the next action and due time in the shop’s approved system, and makes the status visible to the backup person. If any of those handoff details depend on memory, mark the inquiry area and look for the point where the handoff becomes unclear. This example is illustrative; use the process and system your shop approves.
Choose one recent, ordinary workflow and trace its steps with the staff who handle it. Note the step, responsible role, where the status is visible and any wait or repeated entry. Start with the checked area that causes the most recurring delay and test one small improvement. Keep customer information in the shop’s approved systems.
A new tool may not be necessary. First make the current handoff clear; then decide whether the existing process or software supports it.
